Terms and Conditions – Online Pet Showing

Introduction
This document ("Agreement") outlines the terms and conditions for your use of the onlinepetshowing.com website ("Website" or "Service") and any associated products or services ("Services"). By using the Website, you are entering into a legally binding agreement with the Website operator ("Operator," "we," "us," or "our").

If you are accessing the Website or Services on behalf of a business or another legal entity, you confirm that you have the authority to bind that entity to this Agreement. In such cases, references to "you," "your," or "User" will refer to the entity you represent. If you lack the necessary authority or disagree with any terms of this Agreement, you must refrain from using the Website and Services.

By accessing or using the Website and Services, you confirm that you have read, understood, and agreed to the terms of this Agreement. You further acknowledge that this Agreement constitutes a legally binding contract between you and the Operator, governing your use of the Website and Services, even though it is electronic and does not require a physical signature.

By entering any Online Pet Showing competitions and using our Website, you agree to the following terms and conditions:

 

1. General Guidelines
Online Pet Showing is a pet-focused event unless expressly stated otherwise. Although other animals may appear in submitted images, the primary subject must always be the pet. Online Pet Showing is a non-affiliated, recreational competition and is not associated with any breed registry, pet organisation, or showing society.

Please note: Equines are not eligible to enter. Any images submitted containing horses as the primary subject, without another animal pictured will not be accepted.

2. Participation Disclaimer
Participation is undertaken at your own risk. By entering, you agree that your photographs will be judged against set criteria relevant to the class entered, and that any rosettes awarded are given as free gifts and hold no monetary value. Entry does not create any entitlement to a prize or rosette. The Operator accepts no liability for injuries, incidents, or losses arising from participation. Judges' decisions are final and shall not be challenged. Refunds are not provided for unplaced entries or entries that remain unused.

3. Entries and Image Requirements

Entrants must own or have explicit written permission to use all submitted images. Any uncertainty regarding image ownership will result in delayed processing. Images containing watermarks across the subject are not accepted. Advertising or photographer credit watermarks are permitted. Basic digital editing, such as solid-colour background changes, overlays, filters, and black-and-white conversions, is permitted provided it does not alter the physical characteristics of the pet, unless otherwise stated in the class rules. Heavily manipulated images are only permitted where explicitly stated. AI-generated or AI-modified images, including AI backgrounds or the use of image-altering applications, are strictly prohibited unless full editing is expressly allowed in the class rules. Entrants must have permission from all individuals visible in submitted images. Misuse of images will result in disqualification and a permanent ban.

All entries must include the entrant’s first name, surname, and the pet’s name. Where a surname is not provided, the Operator will attempt to obtain it from the entry form. If no surname can be confirmed, the entry will be rejected.

Entries must follow the correct format:

  • Single entry: Full Name & Pet’s Name (e.g., Jane Doe & Buddy). No additional text, prefixes, or promotional wording is permitted.

  • Multiple entries (people/pets): Full Name with Pet’s Name & Pet’s Name (e.g., Jane Doe with Buddy & Bella).

Entries that do not comply with this naming format will be rejected or altered to comply.

Social media handles, organisation names, and other promotional text will not be published, except for photographer credit where appropriate. If a professionally taken image is submitted, the entrant is responsible for obtaining permission from the photographer before entering. Entries found to breach usage rights may be disqualified without refund. Images depicting unsafe handling or poor animal care may be scored lower at the judge’s discretion. The Operator recommends appropriate safety gear be worn in all images and videos. All entries must be submitted in their completed state. The Operator does not offer editing, background changes, or collage assembly services. The Operator reserves the right to request original, unedited files to verify authenticity. Failure to provide these upon request may result in disqualification without refund.

4. Classes and Deadlines
Classes with fewer than ten entries may be extended to the following month. Submission deadlines may be altered at the Operator’s discretion. Each pet and owner combination may enter the same class more than once. In collage-based classes, participants must prepare and submit their own collages. This service is not provided by the Operator. We reserve the right to withdraw, merge, or cancel classes at any stage. If this happens, your entry can be transferred to a different class or deferred to another event, but no additional refund or payment will be made.

5. Refunds and Eligibility
Refunds are provided only at the Operator’s discretion and shall not include processing or transaction fees. Free entries and unused loyalty points are not refundable and have no cash equivalent. If an entry is deemed ineligible, participants may be offered the option to reassign the entry to another class or defer it to a future event.

6. Rosettes and Prizes
Rosettes are not guaranteed and are subject to availability, except where stated below. Rosettes will be awarded to entrants who have entered the Newcomers class and at least one other class under the same name, and who do not place in the Newcomers class, subject to stock availability at the time of distribution. The Newcomers free rosette does not apply where the additional class entered is “Everyone’s a Winner” or a Charity Entry. Design and style may be changed without notice. Due to Global Shipping and Postal Regulations (GSPR) and applicable customs restrictions, first-place prizes cannot be shipped to recipients in Northern Ireland or any European Union member country. If customs rules prevent shipment of a suitable prize to your location, no prize will be issued. Prizes for sponsored classes are fulfilled directly by the sponsor. Any issues or complaints must be resolved with the sponsor concerned. Prizes are non-transferable, cannot be substituted and no cash alternative will be offered. Unclaimed prizes will be returned to the prize pool. Rosettes are retained for a maximum of six months. After this period, unclaimed items will be deemed forfeited. Entrants must ensure all address details are up to date and correct. Addresses submitted via PayPal are not automatically used, and if your address has changed you must inform the Operator directly. If an address is not current or accurate, the Operator is not responsible for lost or misdirected items. By entering any class, you grant the Operator permission to share submitted photos or videos on our website and social media platforms, unless otherwise stated at the time of entry. If you do not wish for your images to be shared, please clearly state this when submitting your entry.

7. Postage and Delivery
UK Entrants: Standard delivery is free via Royal Mail Second Class. Upgraded options, such as First Class or tracked delivery, are available at an additional cost. The Operator reserves the right to select an alternative courier if necessary. Delivery times are estimates only and cannot be guaranteed.

International Entrants: Participants must pay all postage fees for standard airmail. Extra charges may apply for tracked or signed services. All import taxes, customs duties and related charges are the responsibility of the recipient. Rosettes are declared at their entry value for customs compliance, and this value cannot be altered. The Operator is not liable for items lost or damaged in transit. Participants must ensure that postal addresses are accurate. Errors in addressing will not be compensated. Delivery times are estimates only and cannot be guaranteed.

8. Free Entries and Loyalty Points
One free entry is awarded for every two full-price entries purchased to a specific class, excluding charity entries or “Everyone’s a Winner” classes. Free entries are not valid for “Everyone’s a Winner” classes. Free entries must be used within the specified validity period and cannot be exchanged or refunded.

Loyalty points accrue at a rate of one point per £3.50 spent on standard paid entries. Points must be claimed through the Website and are valid for 12 months from the date of the last qualifying purchase. Loyalty entries may not be used for charity or “Everyone’s a Winner” classes. Separate entry forms must be submitted for each individual to whom loyalty points are allocated.

9. Judging and Results
Judging commences once all entries are uploaded after the official closing date. Judges have three days to deliver their results. The Operator aims to publish results within three working days thereafter. Although we strive to publish results as quickly as possible, we cannot promise a fixed release date. Delays may happen, and no liability will be accepted for late publication. Judges, their close family members, or friends must not enter the classes they are judging. If a participant has a personal connection to a judge, they may be asked to transfer their entry to another class.

10. Code of Conduct
Disrespectful behaviour or non-compliance with these terms may result in immediate disqualification or a permanent ban. All entrants are expected to behave respectfully towards judges, sponsors, and event organisers. Making defamatory or false statements about the Operator, judges, sponsors or other entrants, whether online or offline, may result in immediate disqualification or a permanent ban. Compliance with these rules is required to ensure fairness and integrity throughout the competition. The Operator reserves the right to deny entry or remove content that is abusive, misleading, or otherwise inappropriate.

11. Child Safety and Consent
The Operator is committed to protecting the welfare and privacy of young individuals who appear in submitted entries. Entrants must be aged 18 or over, or have parental or guardian consent if under 18. If any person under the age of 18 appears in a submitted image or video, including individuals visible in the background, the entrant must obtain explicit permission from a parent or legal guardian before entering. Entrants under the age of 16 must also have parental consent to participate. By submitting such content, the entrant confirms that all necessary permissions have been secured. This clause reflects the Operator’s responsibilities under data protection law and its duty of care. The Operator reserves the right to remove any entry where appropriate consent cannot be verified.

12. Data Protection and Privacy
All personal data will be processed in accordance with applicable data protection laws, including UK GDPR. We only collect and use personal information necessary for the administration of shows and delivery of prizes. Your details will not be sold or shared with third parties except as required for prize fulfilment or legal compliance, unless you have given explicit permission for us to do so.

13. Miscellaneous Provisions
All rosettes are handmade. Minor variations in colour, size, or style may occur. Participants must promptly notify the Operator of any change to their address or contact information. The Operator is not responsible for items lost due to incorrect or outdated details. Any discrepancies related to loyalty points or league standings must be reported to onlinepetshowing@gmail.com before rosettes are posted. No amendments can be made afterwards. Failure to comply with these provisions may result in permanent exclusion from Online Pet Showing. The Operator is not liable for delays or failures in performance caused by circumstances beyond its reasonable control, including but not limited to natural disasters, pandemics, government restrictions, technical failures, illness, cyberattacks or postal disruptions. (g) Uploading or transmitting malicious code, including viruses, that may harm the Website, Services, third-party products, or the internet;
(h) Engaging in spamming, phishing, crawling, scraping, or similar activities;
(i) Engaging in obscene, immoral, or inappropriate conduct;
(j) Interfering with or bypassing security measures of the Website, Services, third-party systems, or networks.

Violation of any of the above may result in immediate termination of access to the Website and Services.

Intellectual Property Rights

"Intellectual Property Rights" include copyrights, trademarks, patents, designs, and any other intellectual property, whether registered or unregistered, and any related applications. This Agreement does not transfer ownership of intellectual property from the Operator or third parties to users. All rights, titles, and interests in such property remain exclusively with the Operator.

All trademarks, service marks, logos, and graphics used in connection with the Website and Services are the property of the Operator or its licensors. Other trademarks may belong to third parties. Use of the Website does not grant any licence or right to reproduce or use these trademarks.

Limitation of Liability

To the maximum extent permitted by law, the Operator, its affiliates, officers, employees, agents, and licensors shall not be liable for any indirect, incidental, special, punitive, or consequential damages. This includes, but is not limited to, damages for loss of profits, business interruption, goodwill, or data.

The aggregate liability of the Operator for all claims arising from the use of the Website and Services is limited to one pound (£1) or the amount paid by the user to the Operator in the one-month period preceding the event giving rise to the liability. This limitation applies regardless of the form of action, including contract, tort, or negligence.

Indemnification

Users agree to indemnify and hold the Operator, its affiliates, officers, employees, agents, and licensors harmless against all claims, damages, losses, and expenses (including legal fees) arising from:
(a) User-generated content;
(b) Use of the Website or Services;
(c) Any wilful misconduct or violation of these terms.

If a legal claim is brought against us and we are found not to be responsible, you agree to reimburse all reasonable legal costs, expenses, and fees we incur in defending ourselves.

Severability

If any provision of this Agreement is found to be unlawful, void, or unenforceable, the remaining provisions shall remain valid and enforceable. Any invalid provision will be limited or interpreted to the extent necessary to align with applicable laws without altering the original intent of the Agreement.

Dispute Resolution

This Agreement and any disputes related to it are governed by the laws of the United Kingdom. All disputes shall be resolved exclusively in the courts of England and Wales. Users agree to waive any right to a jury trial.

The United Nations Convention on Contracts for the International Sale of Goods does not apply to this Agreement.

Changes and Amendments

The Operator reserves the right to modify these terms at any time. Updated terms will be effective upon posting to the Website unless specified otherwise. Users will be notified of significant changes through available communication methods. Continued use of the Website and Services constitutes acceptance of any revised terms.

Acceptance of Terms

By accessing and using the Website and Services, users acknowledge that they have read and agreed to these terms. If users do not agree to these terms, they are not authorised to access or use the Website or Services.
